IDConference Once Again Part of the RISK Conference
The RISK Conference is the leading event in the region for cybersecurity, IT, and data protection professionalslooking to stay ahead in a rapidly evolving field. First held in 2006 by Real Security, the conference offers a platform to explore the latest trends, technologies, and best practices in cyber and information security, while also enabling attendees to gain insights, connect with peers, and discover new strategies to address the challenges of a constantly changing industry.
Challenges and Innovative Solutions in Event Execution
The first challenge arose in the early years of the conference — digitizing the attendee check-in process, especially tracking attendance at individual sessions. The solution: a digital ticketing system, attendance tracking, personalized gifts, and lead retrieval, allowing participants to digitally exchange contact details and connect more efficiently.
By the following year, the organizers aimed for full process digitalization — from registration to real-time event updates and automated thank-you messages at the end.
To meet these needs, we implemented EventIDmat, fully integrated into the conference’s WordPress website. This enabled:
- Automated registration and paid e-ticket issuance
- Pre-, during-, and post-event communication with participants
- Feedback sharing with speakers regarding session attendance
One of the standout features was advanced attendee tracking across five parallel halls. In the largest hall, with over 500 attendees, we deployed contactless RFID towers to enable smooth entry and real-time logging of listeners without interruption.
Additionally, the event featured several sponsors presenting their solutions. For them, we implemented a digital lead retrieval system, significantly improving interactions between exhibitors and potential clients.
To manage personalized gifts, hostesses scanned each participant’s accreditation and received instant info on which gift was assigned to which attendee — ensuring a smooth, tailored experience.
Elevating the Event Experience
This end-to-end digitalization of event management raised the overall quality of the RISK Conference, especially from a user experience perspective. It gave organizers deeper insights into session popularity, which will support future planning in terms of speakers and topics.
Finally, we ensured higher safety standards (knowing how many people were in each space at any moment), prevented misuse, and greatly simplified and optimized the entire event execution process.
